The North Village Agency booking conditions to individuals

NV logoNorth Village applies the following conditions in ordering and reserving of lodgings services and cancellation of booked lodgings services. Both parties are bound by these conditions once the customer has made a reservation.

  • The person making the reservation must be of legal age.
  • To package tours we apply the General Terms for Package Tours.

Reservations and payment

A reservation is confirmed when a deposit of 30 % of the price of the reservation plus office costs has been paid by the due date.

The deposit invoice and final invoice will be sent together. The final payment must be made, at the latest, 6 weeks prior to the beginning of the stay.

At the same time, the party making the reservation will be sent, information about the lodgings, instructions for picking up and returning the key and North Village`s conditions of reservation.  Non-payment is not a cancellation.

The Saariselkä Central Booking Agency reserves the right to cancel a reservation in the event that the payment is not made by the due date.

Payment method surcharge

The surcharge is charged from every payment made by a card and is determined by the commission of the Transaction Management of Luottokunta ePayment Service.

Credit card information

North Village collects credit card information from its clients as an assurance for any possible extra expenses (e.g. an extra cleaning, caused damages) in the lodgings. North Village guarantees that the obtained card information is treated as confidential and shall not be disclosed to third parties. North Village does not intend to use the collected data for any other purpose, except for those mentioned above.  North Village is obliged to inform the client should the card be used.

Reservations on the Internet

When making a reservation on the Internet, the customer can choose the method of payment desired.

  • Pay the deposit immediately and print out the final invoice and pay it by the due date.
  • Pay the full sum immediately. If the reservation date is soon, only the final invoice is printed out and paid.

Print invoices

When reserving via the Internet, the customer shall be responsible for obtaining his or her own invoice/invoices and conditions of reservation. The reservation system will send confirmation to the email address provided by the customer upon registration.

The staff of North Village will not send the invoices, confirmation etc. to the customer. The customer can print them from the booking system.

Confirmation

If the reservation is paid for, in full or in part, the customer must ensure that, after the payment transaction, he or she returns to the confirmation pages of North Village's reservation system.

If after the payment the customer does not go back to the Agency’s pages, the reservation will not be registered and the reservation system will not send an email confirmation of the reservation.

North Village shall not be liable for failed reservations; the customer must contact North Village immediately for assistance. In this situation, North Village will not guarantee that the lodgings will still be available. In the event that the lodgings are not available, the money will be returned or the customer will be offered other lodgings according to availability. 

Conditions and General Terms of use of the websites

In addition to these reservation conditions, a customer making a reservation via the Internet also accepts the General Terms of Use of the website. Before making a reservation, the customer shall be responsible for reading the aforementioned documents and the instructions for making a reservation.

Right to price changes

North Village reserves the right to correct errors in price information before the conclusion of the contract.

Cancellations

A cancellation is considered as having occurred at the moment North Village receives written word about the cancellation.

If an individual customer cancels his or her reservation

  • 30 days or more prior to the beginning of the accommodation period, the payment will be refunded in full after deductions for the deposit and the service charge.
  • 0-30  days prior to the beginning of the accommodation period, the full payment and the service charge will be charged.
  • If a cancellation occurs as a result of serious illness or death affecting the party who has made the reservation or his or her immediate family 48 hours prior to the beginning of the accommodation period, the payment shall be refunded after deductions for the deposit  and the service charge. In this event, a medical certificate must be provided as cause for cancellation. In the event that such a cancellation occurs less than 48 hours prior to the beginning of the reservation period or during the reservation period, the customer will receive no refund. 

If the customer changes the lodgings or the date of the holiday, the old reservation shall be considered cancelled and the new lodgings or date of holiday shall be considered a new reservation.  Check the coverage of your travel insurance in case of trip cancellation.

North Village´s right to cancel the reservation

North Village reserves the right to cancel a reservation in the event of Force Majeure. In this case, the customer shall have the right to a full refund of the payment. If the deposit is not paid by the due date, North Village reserves the right to cancel the reservation.

Key service

Information about key service can be found in a separate appendix and/or on the product card. If the key will be lost, we will charge the real expenses and service fee (minimum 80 euros).

Staying at the destination

Holiday lodgings are at the disposal of the customer from 4 p.m. on the day of arrival until 12 p.m. on the day of departure.

  • It is expected that the customer will comport him/her/themselves with good manners while residing in/ using the holiday lodgings.
  • Check on the invoice to see if linens (sheets and towels), a final cleaning and firewood are included in the price of lodgings (varies depending on apartment/cabin).
  • If the lodging requires more than the usual cleaning, North Village/caretaker reserves the right to collect a surcharge for cleaning.
  • If the price of lodgings does not include a final cleaning and the customer has not cleaned properly, North Village/caretaker reserves the right to collect a doubled cleaning charge.

Number of guests

Only the persons listed on the invoice may use the lodgings. The use of a tent or caravan/mobile home on lodging grounds without permission is prohibited.

Smoking

Smoking is prohibited inside all lodgings. If there has been smoked in the lodgings, North Village reserves the right to collect a surcharge for cleaning, min. 300 euros.

Pets

Pets may be brought into lodgings where pets are allowed. There is a surcharge of 25 euros for pets. Collect any leavings left by your pet in the yard before you leave.

Damages

Upon departure, the lodger shall be liable to make sure that the windows of the lodgings are closed and the doors locked.

The lodger/party who reserved the apartment shall be liable for compensating , in full, for damages he/she/they have caused to the lodgings or its furnishings. 

The guardian of minors shall be liable for damages caused by minors. If on-call services are required at night for a reason brought on by a lodger (i.e. key lost or other reason), an hourly compensation of 50 euros/h (incl. VAT) will be charged, on Sundays and holidays 100 euros/h (incl. VAT).

We recommend that lodgers take out personal travel insurance to compensate damages caused by them.

Dissolution of rental agreement resulting from disturbance or a hazardous situation

In the event that the tenant does not stop causing disturbances or hazardous situations on the premises or on neighboring premises, despite a warning given by the landlord/representative of the landlord, the landlord/representative of the landlord reserves the right to dissolve the tenancy immediately. Expenses incurred as a result of all previously mentioned  actions shall be charged to the party who made the reservation.  The customer will receive no refund.

Complaints

All observations and complaints concerning the equipment and condition of the lodgings must be directed immediately as they arise during the holiday to North Village, tel. +358  16 554 0500, during office hours.

Complaints made later will not be taken into account.

Lost belongings

We collect a separate service charge for the return of lost belongings, 20 euros + postage. Belongings which are found are kept for 3 months.

Applicable law and place of litigation

The Contracting Parties shall strive to solve disputes concerning the Contract together through negotiations. In the event an agreement cannot be reached through negotiations disputes shall be carried out in the Rovaniemi district court. The Contract is bound by Finnish law. North Village shall not be liable for changes arising subsequent to this publication which are beyond our control.  North Village reserves the right to make changes.

Our rates are net rates and quoted in Euro unless otherwise stated. Your reservation is considered confirmed only after we have received a deposit of 15% calculated from the value of all reserved and confirmed items. This deposit is non-refundable. The remaining 85 % of the estimated total amount has to be on our account 30 days prior to the arrival day.

Cancellations

If a confirmed reservation is cancelled the following terms will be valid (cancellation to be received in writing during office hours in Finland - latest at 16.00 h local time; later notice is considered to be received on next working day):

  • More than 45 days  prior to arrival day: 10% reservation fee
  • 45 - 31 days prior to arrival day: 50% from the total amount will be charged
  • 30 or less days prior to arrival day: 100% from the total amount will be charged
Cancellation fee is due on the total amount of all services booked - not just the first night/day.

A decrease in the confirmed participants

A decrease in the confirmed number of participants is subject to following terms
(notice to be received in writing during office hours in Finland - latest at 16.00 h local time; later notice is considered to be received on next working day):

  • More than 45 days prior to the arrival day:  30 % decrease no charge
    Further decreases subject to 100% charge
  • 44 - 30 days prior to the arrival day: 20% decrease no charge
    Further decreases subject to 100% charge
  • 29 - 21 days prior to the arrival day: 10% decrease no charge
    Further decreases subject to 100% charge
  • 20 - 14 days prior to the arrival day: 05% decrease no charge
    Further decreases subject to 100% charge
  • 13 days or less prior to the arrival day: 100% cancellation fee for all
Cancellation fee is due on the total amount of all services booked - not just the first night/day

Change of given prices

North Village reserves the right change prices if the number of participants will change in any sub service and the given price has been based in total or partly on the number of participants. North Village also reserves the right to change budgeted and estimated prices in case of major increases in the cost of supplies such as oil and fuel, taxes or due to major changes of sub services.

Terms of payment

No cheques will be accepted. The payment for the transaction shall be made in Euro and must be on our account 30 days prior to the clients’ arrival. The sum due to NORTH VILLAGE shall be remitted to
NORTH VILLAGE (Saariselän Keskusvaraamo Oy)

Insurance and indemnities

Snowmobiles and cars (in the case of winter driving schools, rally driving courses, off road driving courses) are insured as required by The Finnish Traffic Insurance Act. This insurance covers medical care for injuries to the driver and the passenger arising from accidents. Personal injuries and damages to other parties are fully covered according to The Finnish Traffic Insurance Act. Snowmobile safari participants are held liable for damages caused to snowmobiles rented to them. The self-liability amount is maximum 980 Euros per snowmobile and per accident case (may vary according to season).  In the case of cars the extent of the self-liability is subject to individual regulations set up by the different service suppliers.

North Village is not liable for any loss, injury, damage whether direct, indirect or consequential, arising from incidents or accidents during transfers, meals, accommodation, games and other activities, dog excursions, reindeer excursions or other excursions and events except to the extent that such loss, injury or damage is caused by intention or by gross negligence. Personal travel insurance is therefore highly recommended.

In order to maintain convenient medical and health care in local hospitals the E111 formula is recommended.

The Buyer agrees to indemnify and hold harmless North Village, its officers and employees from and against liability for any indirect loss and costs arising from any negligent act or omission or from any breach of the Contract.
All transfers are under the liability of the supplying transportation company.

Other terms and conditions

  • The driver of a snowmobile has to be at least 15 years of age and in possession of a valid driving licence.
  • However, children under 15 years can ride as passengers on the snowmobile or in a sleigh pulled by a snowmobile.
  • Driving a snowmobile under the influence of alcohol is prohibited by Finnish law.

North Village and its suppliers reserve the right to change the routing and duration of all excursions if necessary according to the prevailing weather- and snow conditions or if deemed advisable for the sake of safety and the comfort of the participants. North Village and its suppliers also reserve the right to discontinue a safari if a participant is seen as a potential danger to him/herself or to others or is in poor health.

Average Weather conditions

The following description of average prevailing weather conditions can change yearly and can vary regionally and locally and is to be considered only as an overview of average conditions in the Rovaniemi area:
